Position Summary:

The Office Assistant serves as the office lead for document scanning and ensures documents are verified and linked to the correct student record within the electronic filing system (Perceptive Content/Image Now). 

As part of the customer service team, the Office Assistant will answer inquiries at the front counter, via phone and email, and is cross-trained to provide back-up coverage for other staff.  This requires an in-depth understanding of academic and administrative policies and the ability to interpret and communicate complex information to students, faculty, staff, and others. 

This is a full-time, 12-month basis position, offering a minimum starting wage of $14.54 per hour, plus excellent fringe benefits. A six-month probationary period is required. The normal working hours for this position are 7:45am to 4:15pm, Monday through Friday.

Responsibilities:

  • Serve as office lead for document scanning, including quality assurance to ensure all documents are linked to the correct student record for future retrieval
  • Train and supervise student employees to assist with document scanning and in the front office
  • Troubleshoot scanning issues with Information Technology Services (ITS) and reorder scanner parts
  • Facilitate day-to-day operations within the office; including the processing of a variety of forms
  • Process and sort office mail daily (including mailroom drop off and pick-up)
  • Serve as back-up for transcript processing and grade changes
  • Answer phones; assist callers and provide service at the front reception counter; and schedule appointments for office staff
  • Act as administrative support for academic appeals by preparing academic standing letters; receiving student appeals letters and scheduling appointments for personal appeals
  • Prepare student files and documentation for the appeals committee; communicate results of appeals to students and to applicable offices; and update student records as appropriate
  • Provides administrative support for the Office of the Registrar by editing content on department webpages and acting as office liaison for Education Abroad registrations

Minimum Qualifications:

  • High school diploma
  • Two years of office experience
  • Strong organization skills and exceptional attention to detail
  • Outstanding written, verbal, and interpersonal skills
  • Proficiency in the use of personal computers and current software applications, including, but not limited to, the Microsoft Office suite
  • Ability to work with the public (for example: current and former students, alumni, faculty, administration and external constituents)
  • Ability to problem-solve and be a positive contributor to a team

Preferred Qualifications:      

  • Two-year Associate degree in a relatable field
  • Experience working in a Registrar's Office or Student Services in Higher Education
  • Experience handling confidential information
  • Experience with a Student Information System, such as PeopleSoft
  • Experience with scanners and document imaging software, such as Perceptive Content
