Administrative Coordinator

The University of Wisconsin-Platteville is hiring an Administrative Coordinator (University Services Program Associate) in the Office of Continuing Education (OCE). This position coordinates with program managers and supervisors regarding decisions on office management and administrative policies and procedures. They also supervise and schedule all office activities and coordinate approval for hours worked for student employees and other internal office staff. The Administrative Coordinator assists program managers with all classes and programs including scheduling, set up and processing, and is responsible for the preparation of instructor payroll requests and submission  for payment. The position is part of a self-supporting unit.  The normal working hours are 7:45 a.m.- 4:15p.m., Monday-Friday. The anticipated start date is October 16, 2017. The minimum hourly rate is $16.00.

Qualifications

Required:

  • 3-4 years of administrative work experience
  • Demonstrated success completing projects that require fine attention to detail
  • Ability to work independently as well as collaboratively
  • Ability to provide excellent customer service to phone, email, and face-to-face customers
  • Experience working in a database (example: USI, PASS)
  • Experience in accounts payable, accounts receivable, and preparing financial reports  
  • Experience supervising a team, while coordinating projects
  • Ability to monitor and improve office policy, procedures, and work flow
  • Ability to problem solve 

Preferred:

  • 4-6 years of administrative work experience 
  • Associates degree in a related field
  • Experience preparing payroll reports

Responsibilities

  1. Develop/modify, monitor, evaluate and implement office management and administrative support policies and procedures.
  2. Interpret rules, regulations, policies and procedures for faculty, staff and students.
  3. Train, coordinate supervision, and provide guidance to direct reports to ensure productivity standards are maintained. Oversee direct reports’ supervisory work.
  4. Responsible for all complex questions from students and customers.
  5. Oversee complete setup of all courses, classes, conferences and workshops in event management software, ensure that all forms are documented and filed correctly, and coordinate the staffing for the events as needed.
  6. Process accurate instructor and student payroll and secure the required UW-System payroll documentation.
  7. Provide and compare financial reports from Continuing Education and the Cashier’s Office to reconcile all tuition expenses received on a semester basis and work with Cashier’s Office to ensure credit tuition transfer is accurate.
  8. Oversee the reconciliation of daily cash, check, and credit card deposits generated by OCE staff with deposit receipts received from Financial Services and deposit records in the University’s WISDM financial system.
  9. Work with internal staff, program coordinators, and program managers on courses, workshops, and events.
  10. Serve as a backup on primary office functions.
  11. Assist with evening and weekend programs, as needed.
  12. Assist with prep work for events and programs, as needed.
  13. Answer phones and provide excellent customer service.
  14. Other duties as assigned.
