Learning and Student Success Administrative Assistant- Peosta Campus

1. Work independently and use initiative in making decisions.

3. Enter, edit, and finalize various items including correspondence, reports, program policies and procedures, financial statements, department and advisory meeting minutes, and memos.
4. Access, input, and retrieve information for word processing, spreadsheets, and Colleague, along with performing accounting, filing, and other office duties in an organized and efficient manner.
5. Gather, assemble, distribute, update, and retrieve all information, forms, records, and data as requested.
6. Assist with course scheduling.
7. Answer phone, greet visitors, and process in-coming and out-going mail.
8. Meet and deal effectively and courteously with students, faculty, staff and members of the community. Be knowledgeable about college programs in order to refer students to appropriate personnel for assistance when necessary.
9. Make travel, hotel, and meeting arrangements when requested.
10. Maintain effective and efficient flow of information through calendars, notes, phone calls, memos, e-mail, and correspondence.
11. Operate office equipment and report needed repairs to service or maintenance personnel.
12. Order supplies and materials for department.
13. Initiate purchasing requisitions as needed.

Qualifications:

1. Combination of secretarial/clerical work experience and/or post-high school secretarial training equivalent to three years of full-time experience OR an appropriate Associate degree.
2. Microsoft Office certification or extensive experience using Microsoft Word and Excel and knowledge of office practices and procedures. Microsoft Certification must be complete within 1 year of hire.
3. Experience and proficiency working in various data systems (Informer, Colleague, Ad Astra)
4. Knowledge of Google Shared Files, Google Drive and Google Docs/Sheets.
5. Must be able to work independently on a variety of tasks and responsibilities and act responsibly in the absence of the supervisor.
6. Ability to represent the college in a positive manner with students, clients, suppliers, and members of the community.
7. Ability to handle confidential information in a professional manner.
