Medical Associates Clinic offers several locations from which to seek medical care, including facilities at 1500 Associates Drive, 1000 Langworthy, and 1940 Elm Street in Dubuque, Iowa; as well as facilities in Bellevue, Cascade, Dyersville, Elkader, and Monona, Iowa; Cuba City, and Platteville, Wisconsin; and Elizabeth and Galena, Illinois.
Medical Associates Clinic has an opening for a Reception Manager. This role is responsible for providing administrative leadership to Medical Associates Clinic Receptionist staff members and will oversee the day to day operations of designated Reception departments.
This is a full-time position requiring a high-level of flexibility, independent thinking and the ability to work autonomously. People management and/or medical office experience preferred.
Major Duties and Responsibilities:
Manage hiring selection, training, development, performance evaluation, and performance issues for direct reports. Provide oversight of day to day activities and ensure appropriate staffing levels to deliver a high level of customer/patient service. Implement and lead changes to effect continual improvement in services provided by the receptionist team.
Perform administrative duties, which may include but are not limited to: preparing annual budgets, attending meetings, collecting/compiling data, and interpreting reports. Maintain and establish protocols developed with the input of providers, clinical operation s and staff for the receptionist team.
Ensure compliance with policies and procedures, and provide direct guidance in their interpretation. Including but not limited to: completing incident reports and evaluating safety of equipment.
Ensure positive customer service. Investigate and resolve customer/patient complaints, this includes coordinating and facilitating responses to patients.
Complete all other assigned projects and duties.
Knowledge, Skills and Abilities:
Experience: Three years to five years of similar or related experience. People management experience and/or medical office experience strongly preferred, not required.
Education: Equivalent to a two year college degree or completion of a specialized course of study or certification at a business or trade school.
Interpersonal Skills: A significant level of trust and diplomacy is required, in addition to normal courtesy and tact. Work involves extensive personal contact with others and/or is usually of a personal or sensitive nature. Work may involve motivating or influencing others. Outside contacts become important and fostering sound relationships with other entities (companies and/or individuals) becomes necessary.
Other Skills: Effective organizational, oral and written communication skills, problem solving, program development, computer skills, strong leadership, and team building skills. Demonstrates proficiency in Microsoft Office (excel, Word, Outlook) applications, knowledge or ability to learn other operational systems as required. Ability to multi-task, work in a fast paced environment and work independently with limited direction, strong time management skills. Strong written and verbal communication skills required. Cash handling experience with knowledge of reconciliation of accounts and payments preferred. Comprehension of medical terminology and general insurance knowledge preferred.
