TThe University of Wisconsin-Platteville, Diversity and Inclusion invites applicants for an Administrative Assistant for the Assistant Chancellor of Diversity and Inclusion and Chief Diversity Officer. This position will assume responsibilities in administratively supporting the Assistant Chancellor and the Division as well as supplemental administrative support to the Doyle Center for Gender and Sexuality, Campus Climate Department and the Wright Center for Veteran and Non-Traditional Students. Responsibilities: • Provide administrative support to the Chief Diversity Officer (CDO) and Assistant Chancellor of Diversity and Inclusion including: • Maintain confidential/sensitive personnel documents and correspondence including University Bias Incident Information, UW System community and external relations, university/departmental budgets, university operations and others correspondence as needed • Organize, manage and maintain the CDO’s calendar and work load; acting as the liaison between Executive Team and the Chancellor as well as the Diversity and Inclusion departments including; Doyle Center for Gender and Sexuality, Wright Center, Student Support Services, Services for Students with Disabilities, Multicultural Student Affairs, International Student Services and Campus Climate Develop • Understand the responsibilities of the CDO of Diversity and Inclusion in order to protect confidentiality and manage communication and coordination of logistics as needed. • Assist with scheduling, agenda preparation, organizing CDO’s schedule, program set up and administrative workload Provide office management duties for Diversity and Inclusion Assist with tracking budgets assigned by the CDO to help manage processing • Manage all paperwork and processes related to purchasing departmental supplies, arranging travel, arranging logistics for speakers and trainers, and programming expenses. • Monitor accounts to ensure expenses are reflected in the accurate accounts Review all incoming mail, sort and determine priority. Serve as mail coordinator for Warner Hall • Assist with the maintenance requests and planning for physical plant needs, program specific logistics and other special projects • Manage the front office phone for Diversity and Inclusion, determine where calls should transfer to and refer calls to areas, provide great customer service in correspondence and referrals to campus resources and personnel • Assist with managing supply inventory. Research vendors, options and costs of potential purchases. • Using proper purchasing procedures, order supplies from a variety of sources and ensure merchandise or services are received Minimum Qualifications: • High School Diploma Cultural competency in working with staff, students and faculty from diverse backgrounds Excellent customer service skills • Strong organizational skills Experience working with confidential information Ability to multitask and prioritize projects accordingly • Clear verbal and written communication skills Familiarity with computer software, preferably Microsoft Office products • Willingness and ability to learn to use University database systems Preferred Qualifications: • Previous office management experience • Proficiency in another language(s), specifically Spanish or Hmong To Apply: Applications must be received by February 19, 2019.
