Job Overview

The University of Dubuque is a growing faith based University that is seeking an Alumni Engagement Coordinator.  The University of Dubuque offers an excellent benefits package including tuition remission, paid holidays, vacation and sick time, and a retirement match. 

 

Primary Responsibilities:

Event Planning: 

  • Serve as a primary support person for all aspects of Homecoming planning and event execution
  • Also serve as support person for all on and off campus alumni and advancement events
  • Assist in event creation ideas and marketing strategies 
  • Assist in event preparation: set-ups, name tags, decorations, and food service arrangements
  • Help draft marketing content, including biographies and alumni stories for department related publications
  • Manage RSVP list and communications with alumni 
  • Monitor various email accounts and respond accordingly 
  • Organize all alumni event photos and manage SmugMug photo-sharing account

 

Social Media: 

  • Manage University of Dubuque Alumni Association Facebook, Instagram, and Twitter 
  • Develop and execute social media calendar and campaigns to increase engagement 
  • Create and monitor alumni event pages 
  • Interact with alumni via social media: birthdays, marriages, births, and other milestones 
  • Design graphics where appropriate 

 

Department Support: 

  • Provide staff support to the Vice President for Advancement, Director of Alumni Engagement, and other staff within the department as needed
  • Answer incoming calls in a timely manner, greet callers, and route them to the appropriate person
  • Assist in supervising student workers and assigning projects to be completed
  • Perform hospitality functions for department visitors and guests
  • Track Alumni Engagement expenses and event budgets
  • Assist in keeping the Alumni webpages up-to-date
  • Build email templates in Constant Contact for alumni e-blasts 

 

Data Entry: 

  • Track and enter Attributes from events into Jenzabar system
  • Record alumni updates and stories in Jenzabar

 

Other: 

  • Actively contribute to the Advancement Teams resource development initiatives by representing the University in a professional and positive manner with internal and external constituencies
  • Perform other duties as assigned in support of the University’s Mission

 

Qualifications: 

  • Associates degree required; Bachelor’s degree preferred
  • Minimum of 3 to 5 years' experience in related duties
  • Must be available to work some nights and weekends for special events. May include walking distances, stairs, and standing for long periods of time
  • Experience in database management helpful
  • Demonstrate high level proficiency skills with Windows and Microsoft Office (Word, Excel, Outlook)
  • Experience in Canva or similar design programs preferred 
  • Experience with email marketing software preferred 
  • Strong ability to prioritize tasks and manage multiple ongoing projects at a given time
  • Demonstrate excellent interpersonal skills, organizational skills, attention to detail, effective oral and written correspondence, and public relations skills
  • Ability to use discretion and confidentiality in department and University matters
  • Commitment to the Missionof the University
